Medical Front Office Expert / Spa Receptionist

About the Role:
We are looking for a highly organized and professional Medical Front Office Expert/ Spa Receptionist to join our growing family. This key position involves managing all front office responsibilities and supporting our administrative and clinical teams. You will report directly to the CEO (Dr. Wiener) and the Administrative Coordinator (NP).

Schedule:

• Monday–Friday: 8:00 AM – 5:00 PM.
• Some Saturdays required.

Key Responsibilities:

• Perform all front office and administrative tasks with professionalism and efficiency.
• Insurance verification and benefits coordination (including Availity, Tricare, Aprima).
• Account reconciliation and management of aging/patient responsibility reports.
• In-house collections and follow-up.
• Collaborate with our third-party billing company.
• Patient scheduling and appointment coordination.
• Answer and manage multi-line phone system.
• Handle prior authorizations and referrals.
• General administrative duties as assigned.

Qualifications:

• High school diploma or equivalent required.
• Insurance and billing experience preferred.
• Pediatric experience preferred.
• CMA certification preferred.

Required Skills:

• Proficiency with EMR systems and advanced computer skills.
• Excellent time management and organizational abilities.
• Outstanding phone etiquette and customer service skills.
• Knowledge of collections processes.

Preferred (Not Required) Skills:

• Back-office clinical support.
• Certified in Basic Life Support (BLS).
• Phlebotomy and IV skills (potential for Med Spa advancement).
