Job Description

The War Memorial Center is seeking an experienced, ambitious Event Manager to join our team. As an integral part of our events department, you will play a crucial role in promoting and selling our event spaces, successfully coordinating and managing facility rentals to ensure exceptional client experiences, and contributing to the company’s overall growth and success.

 

About the War Memorial Center: The War Memorial Center is an architectural landmark on Milwaukee’s lakefront with indoor and outdoor event facilities. In addition to providing event facilities, the Center stands as a beautiful memorial honoring those who gave their lives for our collective freedom and provides a variety of internal and outreach programs.

 

About the position: The Events Manager performs the following duties to the highest standards:

Sales prospecting and marketing collateral:

  • Solicit new and existing customers to meet/exceed revenue goals through telephone and written solicitation, outside sales calls, networking, and other methods.
  • Develop and execute strategies to increase facility rental revenue and customer base.
  • Respond to all facility rental inquiries and provide facility tours.
  • Design and produce all facility rental advertisements. Assess the value of advertising opportunities for cost, distribution, and audience against current and future advertising commitments.
  • Design, produce, and distribute facility rental promotional materials.

Client relationship and event management:

  • Create and maintain a positive relationship with clients from sales through post-event, understanding their event needs and providing expert advice on event setup and execution.
  • Prepare all event-related paperwork. Track rental contracts and payments. Ensure timely client payment of rental fees.
  • Coordinate and communicate event details to the events team to ensure that events are executed according to client requirements. Coordinate event parking validations.
  • Schedule event staff to execute/staff events. Onsite for events as needed.
  • Follow up with clients to ensure satisfaction with the services received.
  • Supervise and train Event Staff in all facets of event-related duties to facilitate successful event execution. Maintain Event Staff Manual.
  • Manage relationships with catering and bar service vendors.
  • Maintain electronic message boards.
  • Recommend, implement, and administer methods and procedures to enhance facility rental operations and meet industry standards (Standard Operating Procedures Manual). 
  • Prepare and recommend operating goals/budgets for facility rentals.
  • Plan, coordinate, and staff internal events.
  • Recommend replacement of facility rental equipment as needed.
  • Prepare monthly statistics regarding facility use.

 

Other duties as assigned. 

Qualifications:

  • Proven track record of event sales and successfully planning and execution events of various sizes.
  • Enthusiasm for sales, marketing, and event management, with a passion for delivering exceptional client service.
  • Excellent interpersonal and networking skills.
  • Excellent written and oral skills.
  • Outstanding organizational and follow-up skills.
  • Outstanding eye for detail and accurate in proofing and filing.
  • Creative thinking and problem-solving skills to address client needs and offer innovative solutions. 
  • Proficiency with Microsoft Office Suite and Event Management software.
  • Team oriented with ability to work independently within a small office. 
  • Ability to work effectively with clients, vendors, and colleagues.
  • Professional telephone manner.
  • Must be able to: sit; stand; walk; stoop; kneel; crouch; hear; talk; use hands to finger; handle, touch objects, tools or controls; reach above and below shoulder height; pull/push, lift and carry up to 50 pounds, and setup, program, and operate audio visual equipment.
